presentation materials is a priority. Beyond that it is recommended that the core of the
presentation system be updated. The proposed system would separate the
presentation system from the meeting production system and provide separate controls
for when the room is used as a stand-alone meeting venue. It also adds “Bring Your
Own Device” (BYOD) wireless connections to the system.

Control Room Configuration
Moving the equipment rack from blocking the window is also desired. There appears to
be two options to do so. Option 1; remove the edit desk on the far side of the room and
move the rack to the other side of the production desk. Option 2; move the rack into the
storage room behind the control room. It is a concern that moving the rack to either
location may require extending the wiring to the rack. It would certainly be the case if
we move the rack to the other end of the control room. It is only a possibility if we just
move the rack to the other side of the wall into the closet. The closet, however has the
challenge of keeping the equipment cool.

System Simplification
Related to above, is recommended that while we move the rack, we also use the
opportunity to remove outdated equipment and simplify the wiring and operation.
Depending on which rack location is chosen, the wiring from the equipment and
microphones in the chambers may need to be extended. Taking the opportunity to
simply gut and rewire the rack is the recommendation.

Production Switcher
An additional item of concern is the the Broadcast Pix Mica1000 production switcher. It
uses a computer running Windows 7 as a host. Unfortunately Windows 7 will reach
end-of-life, with updates, including security updates, ending in January 2020. In
researching updating the unit we got a quote to send the existing unit back and have it
updated for $10,000. Risks of keeping the Mica can be mitigated by not connecting the
computer to the network and by keeping if turned off except when in use, but if we are
doing additional work to reconfigure the equipment it seems that now might be a good
time to replace it. The benefits of the recommended replacement are two fold. One is it
uses an embedded OS that is not susceptible to internet attacks. Second, it matches
the systems recently installed in five of our other cities and would aid in cross training
and support.

PJC/pjc
