30 <br />SECTION 17 – COMPUTER USE POLICY <br />Purpose <br />The purpose of this policy is to protect the quality and integrity of the City of Little Canada’s computer <br />network and to provide employees with standards of behavior when using the computers. Each item in <br />this policy is designed to strengthen the quality and integrity of this resource while minimizing risks to <br />City employees and the City’s computer network. to set provisions for securing desktop and notebook <br />computers, related computer media and peripheral equipment. Most City business is conducted with <br />the use of desktop or notebook computers dedicated to a single user’s activity. It is essential to protect <br />City information assets created, gathered, shared or stored with desktop and notebook computers, <br />related computer media (e.g. CDROMs, Personal Digital Assistants (PDAs), flash drives, etc. and <br />peripheral equipment such as fax machines, printers, scanners and copiers. <br /> <br />Scope of the Policy <br /> <br />This policy applies to all individuals granted access to the City network and information systems, <br />including, but not limited to full and part-time employees, temporary workers, volunteers, contractors, <br />and those employed by others to perform City work. <br /> <br />This policy includes all computers, stand alones as well as those connected to the City network. The <br />same physical and technical security measures shall be implemented for mobile and remote computers. <br /> <br />Equipment Use <br /> <br />Desktop computers and attached devices are not to be removed from City buildings without the consent <br />of the City Administrator. Employees should refrain from personal use during working hours. <br />Employees may use the computers, e-mail, and the Internet for personal use outside of regular business <br />hours or during other non-work time. <br /> <br />E-Mail Use <br />Important official communications are often delivered via email. As a result, employees of the City <br />with email accounts are expected to check their email in a consistent and timely manner so that they are <br />aware of important City announcements and updates, as well as for fulfilling business and assigned <br />tasks. <br /> <br />Employees should use the same care when creating electronic communications, as they would use with <br />oral or written communications. Existing policies governing employee behavior, both within the <br />workplace and when interacting with the general public, apply to electronic communications. E-mail is <br />not a private communication system. Improper use of e-mail could expose employees to personal <br />liability as well as disciplinary action. E-mail is not to be used to send jokes or other comments that <br />may be discriminatory, harassing, or offensive to others, or to send material that defames an individual, <br />company, business, or municipality. Employees should not open electronic communications received <br />from unrecognized sources since this could subject the City’s network to viruses. <br />
