<br /> <br /> STAFF REPORT <br /> <br /> <br />TO: Mayor Keis and Members of City Council <br /> FROM: Chris Heineman, City Administrator <br />Bill Dircks, Public Works Director <br /> <br />DATE: July 8, 2022 <br /> RE: City Hall Improvements Update <br />At the end of 2021, the City Council approved funds for Oertel Architects to explore options to renovate <br />the front office area to create more usable space and find additional room for employees as the staff <br />expands. The employee restrooms are also in need of upgrades and some changes have been made to <br />enable those restrooms to be ADA accessible. The attached drawings show what Oertel and staff has <br />been able to come up with to better utilize the space. Below are some general comments for each area. <br />Front Office: <br />The proposal includes adding an additional office next to the existing office that was created for the <br />Finance Director twenty years ago and now houses the Code Enforcement Officer and the Fire Marshal. <br />Both offices are proposed to have full walls. There are also two temporary workspaces just outside of <br />the two offices and will allow more part-time staff to have a space of their own when they are at City <br />Hall and others could use the space as well when needed. <br />The front office changes also include removing the door near the water fountain and sliding the area <br />occupied by Lisa towards the counter for easier access and to eliminate traffic between Lisa and the front <br />counter. The west door in the lobby will allow employees to get to the conference room, break room, <br />and council chambers. The counter is proposed to be narrowed for closer contact and easier access for <br />passing documents and other items. A lower counter space is also proposed to meet ADA standards. <br />Plexiglass is proposed to be permanently added at both counters with a talk-through box to aid in the <br />ability to hear and understand what others are saying from both sides of the counter. <br />The two workstations behind Lisa will remain very similar to the existing setup. All front office furniture <br />is proposed to be replaced with new furniture as the existing furniture is over 30 years old. <br />Copier Area: <br />Part of the front office area renovation includes relocating the copier to the unused space to the right of <br />the front entry door. The area is proposed to be walled off to separate it from the foyer and the copier <br />will be set up in that space to reduce the noise level up front. <br /> <br />
