<br />The two work stations behind the reception area will remain very similar to the existing layout but will <br />include additional spacing and sound separation. All front office furniture will be replaced with new <br />furniture as the existing furniture is well over 30 years old. Front office staff was included throughout <br />the entire planning process and are excited about the improvements to the front office area. In addition <br />to significant input on the layout and design for optimal customer service and traffic flow, they provided <br />input on colors for the various surfaces including the cubicle fabric, work surfaces, and accent wall paint. <br />In addition to the office area renovation, the proposed plans include HVAC upgrades to improve air flow <br />and the ability to heat and cool the main office area. The current heating and cooling system includes <br />base board registers against the outside walls that are blocked by wall panels and are very inefficient. <br />New ductwork and vents will be added to the ceiling grid which will provide much more efficient heating <br />and cooling the front office area utilizing existing furnaces and A/C units. <br />Copier Area: <br />Another major component of the front office area renovation includes relocation of the copier to the <br />vacant and underutilized space to the right of the front entry door. The area is proposed to be walled off <br />to separate it from the foyer and the copier will be set up in that space to reduce the noise level up front. <br />New ductwork and vents will also be added to this area utilizing existing furnaces and A/C units. <br />Employee Restrooms: <br />The employee restrooms have remained essentially untouched since the original City Hall was built in <br />the 1970’s and are due for an upgrade. A new countertop was installed on both restrooms in 2016, but <br />no other changes have been made. Neither of these spaces meet current ADA standards, and a percentage <br />of a remodeling project such as this must be dedicated to improving accessibility. The doors do not <br />currently lock even though there is only room for one person in each restroom. The bathroom would be <br />totally gutted and reconfigured as shown in the attached plans. Both would be ADA Accessible and <br />would have one toilet and a sink. New tile will be installed on the floors and walls. The existing coffee <br />bar and sink area will be removed to make room for the new configuration. <br />Financial Impact: <br />The estimate provided by Oertel back in July was $256,853 for construction and $111,148 in soft costs. <br />An updated estimate has not been calculated but it should be in a similar range as it was a conservative <br />estimate and there have been some additional cost saving measures identified since July. If approved, <br />the project will be competitively bid through Sourcewell. A proposed timeline is included in the packet. <br />RECOMMENDED ACTION: <br />Staff recommends City Council approval of the final plans and specifications for the City Hall renovation <br />and authorize the bid process via Sourcewell. <br /> <br />
