18 <br /> <br />C. Relocation. Records that are sufficiently detailed to demonstrate compliance with 24 CFR <br />570.606 related to displacement, relocation, acquisition, and replacement of housing, <br />including records that demonstrate that Grantee has taken all reasonable steps to minimize <br />the displacement of persons (families, individuals, businesses, nonprofit organizations, <br />and farms) as a result of activities undertaken with CDBG Funds. Grantee must maintain <br />a separate record for each displaced person, family, individual, business, nonprofit <br />organization, and farm. Such records must indicate the overall status of the relocation <br />workload. <br /> <br />D. Property Acquisition. Where applicable, records related to property acquisition, including <br />the following: <br />1. Invitation to owner to accompany appraiser during inspection; <br />2. At least one property appraisal; <br />3. Statement of basis for determination of just compensation; <br />4. Written offer of just compensation; <br />5. All documents involving conveyance; <br />6. Settlement cost reporting statement; and <br />7. Notice to surrender possession premises. <br /> <br />E. Equal Opportunity. Records documenting the racial, ethnic, and gender data showing the <br />extent to which these categories of persons have participated in, or benefited from, the <br />activities carried out under this Grant Agreement. Grantee also is required to maintain data <br />that records its affirmative action in equal opportunity employment, and its good faith <br />efforts to identify, train, and/or hire lower income residents of the project area and to utilize <br />business concerns that are located in or owned in substantial part by persons residing in the <br />area of the project. <br /> <br />F. Labor Standards. Records documenting compliance of all contractors performing <br />construction work under this Grant Agreement with the labor standards made applicable <br />by the Davis-Bacon Act, as amended (40 USC 3141-3148). <br /> <br />G. Other. Such other records as may be required by the Authority and/or HUD. <br /> <br />Section 3.4 Retention of Records. Required records must be retained for a period of six <br />(6) years after termination of this Grant Agreement, except as follows: <br /> <br />A. Records that are the subject of audit findings must be retained for six (6) years after such <br />findings have been resolved; and <br /> <br />B. Records for nonexpendable property must be retained for six (6) years after its final <br />disposition. <br /> <br /> <br />Section 3.5 Reports. Grantee is required to submit reports as required by the Authority <br />on a monthly and annual basis, and also prior to project execution. <br />
