Little Canada Road Improvements | City of Little Canada 7 <br />scope items that may become necessary through the <br />delivery of all tasks. <br />Task 9 – Public Engagement <br />Work under this task includes a right-sized scope of <br />work to ensure the community is engaged and aware <br />of the proposed project. <br />Communication Plan <br />Our communications team will meet with the City and <br />County’s public relations team members to establish a <br />robust communications plan. The communications plan <br />will use a variety of tools to engage the public from day <br />one through the start of construction, at which point a <br />construction communications plan will take over. <br />Property Owner Meetings <br />Individual property owner meetings are vitally <br />important and provide meaningful engagement with <br />those that are most impacted by the project. Our scope <br />of work includes 20 individual property owner <br />meetings. These meetings will occur during the onset of <br />preliminary design so that site-specific questions or <br />concerns can addressed early in the process. <br />Additionally, the anticipated right-of-way acquisition <br />can be a new or daunting process for property owners <br />that have never gone through the process. The early <br />engagement with impacted property owners will help <br />educate them and make them feel more comfortable <br />with the process. <br />Open Houses / Pop-Up Events <br />Open houses and pop-up events are a great way to <br />engage with the broader community in an in-person <br />format. Our previous information gathering open <br />house last Fall was well attended, and based on <br />feedback at that meeting, we anticipate an engaged <br />and interested community moving forward. The <br />specific dates of the open houses will be determined <br />in the communications plan, but we anticipate the <br />first open house very early in the process. Pop-up <br />events are smaller ‘booth’ style engagements that <br />could be held at community events like Canadian <br />Days, local softball tournaments, or the Little Canada <br />5K SAP Run. <br /> <br />Project Website <br />We will prepare a public-facing project website that <br />will host all relevant project information. The City can <br />direct its own website users to the project website <br />through website linking. <br />The website will also have a feature that allows <br />interested people to sign up for project updates via <br />email or text. Although this function is typically used <br />more frequently during construction, we can issue <br />updates during preliminary and final design when new <br />information is added to the website. We have <br />assumed several website updates throughout the <br />duration of design. <br />Direct Mailings / Social Media Advertisements <br />We have found that a combination of direct mailings <br />and social media ads are a great way to drive people <br />to the project website for information and to garner <br />their feedback and share project updates. We can <br />quantify the effectiveness of both methods by <br />evaluating the methods used by individuals to access <br />the project website. Typically, our initial project <br />mailings are postcards with a link or QR code to the <br />website so that information is succinct and <br />centralized. <br />Project Decal & Signage <br />A project decal will be created and used for all public- <br />facing communications. Additionally, signage can be <br />created and placed at various locations throughout <br />the corridor to drive interested people to the project <br />website for additional information. <br />Supporting Communications <br />We have time allotted for additional generalized <br />communication efforts that may arise during the <br />preliminary design of this project. This may include <br />supporting efforts to deliver articles for the City <br />Newsletter, County website, or other engagement <br />opportunities that may arise. <br />Project Rendering / Project Animation <br />Because this project introduces a significant change to <br />the geometries of Little Canada Road and Country Drive, <br />a project rendering can help the community visualize the <br />proposed improvements and often helps build consensus <br />and excitement for project.
