UTILITY BILLING / ADMINISTRATIVE SUPPORT SPECIALIST <br /> <br />2 <br /> <br />9. Performs yearly audit of hauler invoice & monthly billing summaries to ensure accuracy with <br />City billing. Involves monthly communication with hauler billing departments. <br /> <br />10. Settles completed service request forms and communicates with Public Works staff on a regular <br />basis regarding water meter installations and readings. <br /> <br />11. Ensures organized collection contract enforcement. <br /> <br />12. Sends quarterly water consumption totals to Met Council Environmental Service (Blacktern/Rice <br />Street) and St. Paul Regional Water (Carla Lane) after completion of billing to receive MCES <br />billing adjustments. <br /> <br />14. Prepares marketing and newsletters materials related to recycling and organized collection <br />activities. <br /> <br />Administrative Support <br /> <br />1. Provides excellent customer service in all dealings with the public. <br /> <br />2. One of the staff responsible for answering the main city phone line. Answers routine questions <br />or inquiries in a prompt, courteous, helpful, and efficient manner. Routes calls promptly to other <br />staff members and takes messages, if needed. <br /> <br />3. Serves as back-up for other staff’s duties when they are absent or busy, by performing duties <br />such as, but not limited to, assisting customers and answering telephone, etc. <br /> <br />4. Helps customers who come into City Hall, answers their routine questions and inquiries, and/or <br />directs them to the appropriate person. <br /> <br />5. Helps daily processing of mail, including opening, date stamping, and distribution. <br /> <br />6. Maintains the orderly appearance of the front counter/lobby area, filling information racks, and <br />providing general organization. <br /> <br />7. Serves as the back-up when the Customer Service Specialist is out of the office. <br /> <br />8. Performs other duties as requested or assigned. <br /> <br />KNOWLEDGE, SKILLS, AND ABILITIES <br /> <br />• Ability to maintain effective working relationships with fellow employees and the public. <br />• Job requires considerable customer service and is typically performed under general or <br />minimum supervision. Excellent customer service is our goal. <br />• Ability to communicate effectively, both orally and in writing. <br />• Typing/Keyboarding skills; ability to operate a personal computer, including word processing <br />and spreadsheet applications; ability to operate other office equipment such as a copy <br />machine/scanner. Excellent word, grammar, and editing skills.
