515 Little Canada Road, Little Canada, MN 55117 -1600
(651) 766 -4029 / FAX: (651) 766 -4048
www.ei.little-eanada.mn.us
TO: Mayor Blesener and Council Members
FROM: Shelly Rueckert & Kris Pechman
RE: Recreation Software and Credit Card Processing
DATE: May 19, 2006
MAYOR
Bill Blesener
COUNCIL
Jim LaValle
Rick Montour
Barbara Allan
John Keis
ADMINISTRATOR
Joel R. Hanson
At the February 8(11 council workshop the Council approved the acceptance of credit
cards for park and recreation registrations. At that time, we had two vendors in mind
that could provide these services. We have reviewed a third vendor which would
provide services beyond basic registration services and credit card processing. See
attached spreadsheet for comparison of the three vendor services.
Based on our review of services, we would recommend Active Network as the city's
vendor. Active Network is formerly the provider of RecWare software. RecWare is a
popular recreation software used by many large cities to manage various activities. In
the past, the cost of this software was cost prohibitive for a city our size. The software
is now more reasonably priced.
With this software, we would be able to eliminate the use of the Microsoft Access for
the Recreation Department. Currently Kris is the only person within the Recreation
Department with the knowledge to manage the Access program. Access is fairly
complex and not user friendly. In order for the program to produce the reports required
by the Recreation Department it takes an experienced Access person. With the Active
Network software, most of the reports frequently used by the Recreation Department
are "canned" reports. The program is user friendly and will eliminate the Recreation
Department's dependence on Kris to produce reports. The reports can be easily viewed
and generated by anyone in the Recreation Department. The reports will also be real
time status as the activity will be easier to enter as it comes in the door as opposed to
the "batch processing system" we use with Access.
