<br />Project Kick-Off
<br />Our proposed approach is born of successful experience working on similar park projects. For this and all projects, we suggest a project kick-
<br />off with city staff, the Technical Advisory Committee and key stakeholders, during which we will work with you to clearly establish roles and
<br />responsibilities, identify project contacts and communication protocols, identify potential hurdles, determine any initial data needs, and verify
<br />our proposed schedule of work with confirmed dates for key project milestones and deliverables. Prior to this meeting, our planning team will
<br />review and evaluate the previously developed background documents. During this meeting and throughout the project, we will communicate
<br />often and clearly with city staff, seeking input from a variety of stakeholders including operations and maintenance, public safety, city council and
<br />commissions. We have included robust review times as part of each phase. We know that this project represents a significant investment of time
<br />and money. We are committed to supporting and leading you through the process.
<br />Project Understanding & Approach
<br />Deliverables and Detailed Work Plan
<br />Concept Validation (4 weeks)
<br />This phase is intended to verify the findings in the TAC report, establish a project
<br />schedule, meeting intervals with City staff and the TAC, and outline key phase
<br />deliverables and milestones for the project. Bringing our recent experience
<br />designing community center facilities, we will review and verify the findings
<br />in the recently completed TAC report. We understand that having a clear
<br />understanding of your operational needs based on input from the city parks and
<br />recreation staff and parks commission is extremely important to the success
<br />of your project. However, also significant to this work is reviewing the mission,
<br />vision, values statements, demographic and economic information, previous
<br />planning and facilities studies, and historical and projected data.
<br />Based on these conversations, we will further refine project goals, identify
<br />community needs, adjacency requirements, space needs, and gain consensus
<br />around the strategies and technologies to be explored during schematic design.
<br />By the end of this step, we will have a detailed listing all space needs for your
<br />facility. During this phase, along with our partners at Bolton & Menk who have
<br />history with this project, we will also analyze and perform test fits on the site,
<br />taking into consideration: landscape/urban environmental features, site access
<br />and accessibility features, user access, and parking.
<br />Schematic Design (8 weeks)
<br />The next step of the process in the highly collaborative exploration and
<br />conceptualizing phase, is to study and evaluate a number of concepts that depict
<br />the idea for a design. Based on City acceptance of the predesign findings in the
<br />TAC report, we will prepare schematic design drawings and renderings indicating
<br />the scale and relationships of project components that conform to the approved
<br />space needs programming. Our conceptual plans will allow us to produce a
<br />preliminary cost estimate you can use to refine your list of must-haves.
<br />The final Schematic Design Package will include floor plans, exterior elevations,
<br />sections, and details necessary to demonstrate design intent and direction. At
<br />the end of this phase, we will review and present the preferred, refined concepts
<br />and preliminary material selections in a narrative report that will include an outline
<br />of preliminary project probable costs. Schematic design renderings produced
<br />by the selected design team will be presented by city staff. The final design will
<br />be approved by the City before we proceed with subsequent phases and will be
<br />completed by your June 30 fiscal year deadline.

<br />From our continuous renovation work, we know what
<br />information is needed to determine costs associated
<br />with construction in existing facilities. We regularly
<br />compare our costs to previous projects and review
<br />costs with contractors, subcontractors, and suppliers
<br />on specific materials and types of construction.
<br />Schedule Control
<br />Each team member understands the paramount
<br />importance of schedule, and has excellent track records
<br />in quality control, which is maintained by developing a
<br />complete and detailed work plan of all the tasks required
<br />to successfully complete this project. The work plan will
<br />inevitably evolve and be a living document that will be
<br />modified and updated as the project progresses.
