Hanson <br />As was discussed during our review of the 2001 Capital Improvement Program, the City <br />needs to upgrade its accounting software to be compliant with the Governmental <br />Accounting & Standards Board (GASB) requirements. New software will also enhance <br />staff efficiency given limitations with our current software. <br />The City of Roseville has generously allowed us to piggyback on their new accounting <br />system. (The City of Arden Hills is also doing the same.) Our staff has reviewed various <br />vendors and finds the Springbrook Software available through Roseville to meet our <br />needs. If we were to purchase this software on our own, the cost would be approximately <br />$40,000. Through the shared arrangement with Roseville, we have reduced this amount <br />to $12,000. We will also be paying a $1,000 setup fee and a $5,220 initial annual <br />maintenance fee as part of this arrangement. (Those last two amounts would have been <br />payable had we bought the system on our own.) <br />The City of Roseville will provide the server to support this software. Our access to the <br />system will be via the Institutional Network offered through our telecommunications <br />commission. Training will be provided by Roseville staff as part of the above pricing. <br />We are also seeking a reduction in the on -going annual maintenance fee after the initial <br />year. (I am hopeful of it being reduced to no more than $3,000.) <br />In order to have this system operational by the first of the year, we need to authorize <br />purchase at this time.
