Hanson <br />www.eLlittle-canada.mn.us <br />MEMORANDUM <br />TO: Mayor Blesener & Members of City Council <br />FROM: Bill Dircks, Public Works Superintendent <br />DATE: August 17, 2012 <br />RE: Cell Phone Policy <br />The City currently provides cell phones for ten employees and reimburses two additional <br />employees for a portion of their monthly cell phone expense. Employees who have a <br />City - provided cell phone or are reimbursed for a portion of their personal phone have all <br />been deemed to need the phone for essential work functions. Phones have been issued to <br />the entire public works and parks departments as well as a member of the recreation <br />department and the building official. Another employee of the recreation department and <br />the code enforcement officer are reimbursed for a portion of their personal cell phone <br />expenses. <br />Last winter the City switched cell phone providers due to a better deal and the option of <br />additional services on the phones. This raised the issue of putting a cell phone policy <br />together. The City has never had a formal cell phone policy and staff has determined that <br />it would be in the City's best interest to put a policy together to address the various issues <br />that go along with cell phone usage. A draft version of the policy has been included with <br />this memo. Staff is checking on a few final issues and will have the final version of the <br />policy at the meeting on August 22. A survey of neighboring cities was done to see what <br />they were doing with regard to employees paying a share of the monthly cost to account <br />for personal usage. The policy as written would put Little Canada near the middle for <br />what employees are charged each month. <br />The policy addresses cell phone care and usage, which employees may be assigned a <br />phone, personal use of cell phones, payment, accessories, and damages to the phone. <br />
