CITY OF PALO ALTO OFFICE OF THE CITY COUNCIL <br />July 12, 2011 <br />The Honorable City Council <br />Palo Alto, California <br />Continued Discussion and Recommendation for Approval of an <br />Electronic Packets for Council <br />On June 14, 2011 Staff presented a proposal to the Policy & Services Committee <br />that recommended changing from a paper based packet to an electronically <br />delivered packet for the City Council Members. <br />At this meeting, the Policy & Services Committee requested that Staff return with <br />information regarding the following items: <br />• The City Attorney was requested to review the policy of the City of Saratoga <br />regarding electronic packets and bring back a recommendation if the City of <br />Palo Alto should create a policy. Attached please find a memo from the <br />City Attorney's office. <br />• Staff was requested to return with information on policies other Cities have <br />in place to govern the use of iPads. The City Clerk's Office polled <br />surrounding Cities and has attached a chart detailing the results. <br />• Staff's original proposal included delivering the paper packets to the <br />Libraries on Thursdays instead of Wednesdays to eliminate the overtime <br />costs incurred by the Administrative Services Division with late Wednesday <br />delivery. The Policy & Services Committee requested that Staff continue <br />delivery on Wednesdays. A new cost analysis has been attached that <br />accommodates this revised information. The new cost analysis indicates <br />that if the City purchased iPads and paid for the monthly plan, the City <br />would break even in the third year. <br />Attached please find the minutes from the last Policy & Services Committee <br />meeting.
