be available for the purchase of any devices associated with a paperless agenda packet. The <br />allowance is not to be used to pay for Internet access, any wireless phone service, or other <br />applications not specifically approved the City Council. <br />Designated staff will be assigned a laptop computer that will be owned by the City. Laptops will <br />be used for viewing paperless agendas during meetings as well as for day -to -day computing <br />applications in lieu of a desktop. (Docking stations and monitors will be purchased for desktop <br />usage.) <br />Distribution of Electronic Agendas and Meeting Packets: <br />Agenda packets will be prepared as an Adobe Acrobat PDF document (as opposed to Microsoft <br />Word, TIFF, or other document types). They will be downloaded to the City's Laserfiche <br />program. A web address will be provided to the Council that they will go to in order to <br />download their agenda packet. Staff will continue to have the agenda packets loaded on to our <br />website for access by the public. They are also linked on CTV's website for streaming video <br />replays of the meeting. <br />Agenda Packet Annotations: <br />Elected officials will be able to make margin notes and other annotations to electronic <br />documents, similar to handwritten notes added to paper packets. This will require editing <br />software to be installed on the reading device. Since packets would be delivered as an Acrobat <br />document, a PDF editing tool is required. The margin notes and comments would then become <br />part of the document itself and be available to the councilmember at the meeting. There are a <br />number of free and paid Acrobat editing tools available. <br />Printed Packets: <br />By going to a paperless agenda system, we will significantly reduce the usage of the copy <br />machine and paper for printing. To gain the full advantage of the paperless program, staff will <br />only prepare two printed documents, one for the files and another for the public. <br />If elected officials wish to print, they will need to do so with a personal printer. Printing to a city <br />printer (while in city hall) is not possible since non - domain devices cannot access city print <br />servers. Roseville will not add these devises to the network due to security issues. Therefore, if <br />wireless printing from non- domain devices is required at City Hall, it will be necessary acquire a <br />dedicated wireless printer that would be installed on the open wireless network. <br />Support: <br />Laptop or tablet computers are a personal device and must be treated as such. Therefore it is <br />necessary that the user become familiar with the use of the device and for basic troubleshooting. <br />If service were required for any device, it would need to be serviced through a third party, as the <br />city does not have the capacity to support these devices.
