Rental Rate: <br />As you know, many of the cities who lease community room space have <br />both small room rentals and large room rentals. Given that the lower level <br />of the Old Fire Hall is essentially one large room, it is staffs feeling there <br />should be one rental rate for the space, with the only variation being <br />weekday versus weekend rental. <br />Additional on -going costs to the City for renting this space would be for <br />staff time in processing rental requests, etc. ($50), 2 hours of janitorial <br />time for routine cleaning ($25), utility costs ($15), and refuse removal, <br />insurance and miscellaneous ($10). If the hall were not properly cleaned, <br />additional cleaning costs could come from the damage deposit. Please <br />note that costs for building and equipment repair and replacement have not <br />been estimated. <br />Based on the costs outlined in the above paragraph, rental costs should be <br />set at a minimum of $100/Day. We would suggest a weekday rental rate <br />of $100/Day and a weekend rental rate of $150/Day. <br />Damage <br />Deposit: $100. This would cover the cost of extra cleaning and return of keys. <br />It is does not seem practical to have a staff person in attendance <br />monitoring the building given the additional cost as well as varying hours <br />that the Hall may be used. <br />Other Issues: People renting the hall would be responsible for the set up and clean <br />up required, and with the space to be restored to satisfactory <br />condition. <br />Reservations would be on a first -come, first -served basis, subject to local <br />organizations' needs. Reservations would not be taken more than six <br />months ahead of the event. <br />Sale of liquor would be prohibited. <br />Rental reservation form would be drafted which documents basis of <br />arrangements. <br />Given that off-site parking for the Old Fire Hall is not as ideally located as <br />the parking lot at the Little Canada Rental Hall, there may be a problem <br />with visitors to the Old Fire Hall parking in the Little Canada Rental Hall <br />parking lot. <br />Observation: Since surrounding cities are able to lease community room space <br />inexpensively for small groups (see attached space survey), it would seem unlikely there <br />would be interest in the Old Fire Hall space for small groups at the $100 and $150 per <br />Page 22 <br />
