Hanson <br />TO: Mayor Fahey & Members of the City Council <br />FROM: Joel Hanson, City Administrator <br />DATE: October 4, 1996 <br />RE: Authorize Advertisement for Full -time Receptionist <br />In 1997 budget deliberations, we are dealing with the retirement <br />of Bev Jespersen from her part -time secretarial position. Staff <br />has proposed moving Mary Granley into that position, combining it <br />with code enforcement duties, and making it a full -time position. <br />This course of action necessitates the hiring of a new <br />receptionist. Internal meetings have been held with affected <br />staff members to discuss job structure and duty assignments. We <br />feel increased efficiency is possible through a rearrangement of <br />duties and improved technology. This not only allows us to add <br />code enforcement duties on a year -round basis, but also enables <br />us to provide additional clerical support for the Parks & <br />Recreation Department. <br />Given the fact that Bev Jespersen will be retiring at year end, <br />it is my recommendation that we advertise for a receptionist <br />position at this time in order that we can have someone on board <br />by early December. This will allow that person to become <br />familiar with the receptionist duties under Mary's guidance. It <br />will also provide Mary the opportunity to learn her new <br />responsibilities working with Bev. I have assumed this <br />possibility in the estimates of 1996 costs. <br />I would like the Council's authorization to proceed in the manner <br />indicated. If there is concern regarding the budgetary impacts <br />of this decision, I would ask that we discuss them at this time <br />in order that I can modify plans as necessary should a different <br />outcome be reached. If concerns exist with this recommended <br />course of action, I would respectfully request we discuss this <br />issue at Wednesday's meeting. <br />JRH:kpv <br />Page 21 <br />
