tl M Subd. 4 The adoption of a committee report by the Committee shall have the same effect as the adoption of a motion. Subd. 5 All minutes and reports of the Committees shall be retained on file at the Criminal Justice Planning Department and shall be available for inspection by any citizen. Section 7 REPORTING AND RECORDS MANAGEMENT Subd. 1 Subd. 2 Reports prepared by the Advisory Board for the County Board and City Council shall be scheduled for presentation by the Advisory Board Chairman or his /her designee to an appropriate standing committee of the County Board or City Council. Where reports are more than five typewritten pages in length, an executive summary shall be prepared to accompany the reports. The Chairman of the Advisory Board shall be responsible for notifying all Advisory Board members and other interested persons of the date, time, place of the County Board or City Council standing committee meeting and of the nature of the report to be presented to the committee of the County Board. All Advisory Board members and interested persons shall have an opportunity to comment on the report at the scheduled committee meeting or by submitting written reports to the Chairman of the committee of the County Board or City Council. Annual summaries of accomplishments of all committees will be prepared and submitted to the Board of Ramsey County Commissioners and the Executive Director of the County Board and the St. Paul City Council and the Mayor's Executive Assistant. These summaries shall include an outline of major accomplishments of the Advisory Board during the year and a brief outline of activities proposed for the coming year. The County Executive Director and the Mayor's Executive Assistant shall keep these annual summaries on file and available for public inspection. 64 WAAAWWWWigtAfA
