DC Hey's quote would also allow <br />us to retain our present copier for use at the City <br />Garage. By doing so, we will meet the needs of the Public <br />Works Department for copying at the Garage in addition to <br />having back -up copying capability for City Hall should our <br />machine break down. We also save the cost of acquiring <br />another copier which would be in the range of the one we <br />are purchasing for use by the Historical Society. <br />Maintenance for our present copier has been quoted at <br />$25 /month based on 2,500 copies per month usage for the <br />first year. Subsequent years of maintenance have been <br />quoted as a maximum 5% increase per year. DC Hey will also <br />move the copier to the Garage and clean it free of charge. <br />Other positive factors in addition to having the lowest <br />cost for purchase and maintenance is that their maintenance <br />cost on the new copiers is guaranteed to remain the same <br />for three years, and their quotes include delivery, <br />installation and training. Also, we have had good service <br />from them in the past. Their average response time on <br />maintenance calls has been 2.4 hours. <br />We recommend that the Mayor and City Council approve the <br />purchase of the Sharp SF -9800 and Sharp SF -7370 at a total <br />purchase price of $10,860 from DC Hey. The funds for the <br />City Hall copier would come from the 3% Gambling Fund while <br />the Historical Society copier was already approved for <br />funding by the 10% Capital Improvement Fund. <br />We have also requested information on a plain paper <br />facsimile machine for City Hall. This information has been <br />requested because we feel the new machine would save us <br />time and paper by not having to re -copy and we also <br />understand the Fire Department may be interested in <br />utilizing our present machine.
