AGENDA POLICY <br />The following guidelines are intended to govern the preparation <br />of the City Council floor agenda and agenda packet. <br />Floor Agenda <br />Floor Agenda draft prepared on Wednesdays and finalized by <br />Thursday noon of the week prior to the City Council meeting. <br />Floor Agenda is prepared based on information received from <br />outside parties and input from City Staff and Consultants, with <br />final approval by City Administrator. Floor agenda is then faxed <br />to the Little Canada Press for publication in their next issue. <br />Floor agenda submitted to the CATV Producer for broadcast on the <br />City's Cable TV Channel. <br />Council Packets <br />The Friday of the week prior to the City Council meeting, Council <br />agenda packets are prepared and distributed to City Council <br />members. (It should be noted that preparation of the Agenda <br />Packet is an on -going process, with some items in the process of <br />preparation many days or even weeks prior to the meeting.) The <br />Floor Agenda is used as a guide in preparation of the Council's <br />agenda packets. <br />Additions to the Agenda <br />Requests for Council action on items received after the Floor <br />Agenda is finalized will either be included in the Additions to <br />the Agenda or scheduled for discussion at the next Council <br />meeting. This determination will be at the discretion of City <br />staff. However, staff and the requesting party understand that <br />the City Council reserves the right to table the matter should <br />the submittal not be complete or the Council feel additional <br />input or public review is necessary. <br />It should be noted that staff uses the following guideline for <br />determining whether an item should be included on the Additions <br />to the Agenda: <br />Items felt to be routine and non - controversial in nature <br />that develop after Agenda Packets have been prepared, and <br />where it is preferable not to delay action on the item until <br />the next Council meeting, will usually be added. <br />Items where due to their timliness must be acted upon before <br />the next Council meeting will be added. <br />Additions to the Agenda received after the Floor Agenda is <br />published, but before Council Packets are finalized on Friday, <br />Page 16 <br />
