1 <br /> <br />CITY COUNCIL <br />WORK SESSION STAFF REPORT <br />ITEM NO. 4 <br /> <br />STAFF ORIGINATOR: Hannah Lynch, Finance Director <br /> <br />WORK SESSION DATE: February 5, 2024 <br /> <br />TOPIC: ERP Software <br /> <br />______________________________________________________________________________ <br />BACKGROUND <br />New Enterprise Resource Planning (ERP) software is in the 2024-2028 Financial Plan as a 2026 <br />project. With many governmental software providers 18 months out on conversions, staff <br />would like to begin researching and setting up demonstrations with potential new software <br />providers. <br /> <br />The City currently has Springbrook software. Conversion from Tyler Technologies Pace software <br />occurred in 2015 due to Pace utilizing old technology and no longer being updated by Tyler <br />Technologies. Pace was the City’s software for roughly 17 years. Springbrook is nearing 10 years <br />since conversion and it is best practice to evaluate software every 10 to 15 years. <br /> <br />Since the conversion to Springbrook, the City’s internal operations have continued to grow and <br />evolve. In that time, more cloud-based, all-encompassing, ERP software is available. Staff would <br />like to explore new software to integrate information, automate processes, and utilize modern <br />features. Specific processes and features sought after include: <br />• Modern Financial Management solution <br />o Intuitive interface and functionally <br />o Robust reporting tools <br />o Budget creation and production of budget documents <br />o Project and grant accounting <br />o Comprehensive bank reconciliation feature <br />o Accounts payable workflow <br />o Capital asset invoice flagging and construction project tracking <br />o Special assessment database <br />• Reconfigured Utility Billing solution <br />o Clean-up class and rate setups <br />• Integrated Human Resource Management solution <br />o Streamline employee information, payroll, promotions, and compensation <br />changes <br />45
