2 <br /> <br />All email messages will be deleted from the electronic mail system 120 days after receipt. If <br />retention of any message is warranted beyond that period, the message should be moved, <br />stored, and maintained in accordance with the City’s Data Practices Policy and Records <br />Retention Schedule. <br /> <br />Violations of this policy will be treated like other allegations of wrongdoing in the City in <br />accordance with established procedures. <br /> <br />Employees may use low-risk data with Artificial Intelligence (AI) technology to perform their <br />work. Low-risk data is defined by Minnesota Statutes Chapter 13 as ‘public’ and is intended to <br />be available to the public. The use of AI technologies often relies on the transfer and collection <br />of data to third-party entities. If an employee is unsure of the data classification, they must <br />review the data with the city’s responsible authority or their designee, prior to using the <br />technology. All data created with the use of AI is to be retained according to the city’s records <br />retention schedule. <br /> <br />RECOMMENDATION <br />Staff is requesting the approval of the proposed additions to the Personnel Policy. <br /> <br />ATTACHMENTS <br />None <br />61
