• <br />• <br />• <br />DRAFT 4/5/04 <br />BENCf- mCuARM. <br />Community <br />Builder <br />Collaborative <br />Communicate Progress <br />Purpose: <br />An important part of any project of this magnitude is to understand the important <br />audience segments and communicate often to each one in a manner most <br />appropriate to them. <br />How This Step is Completed: <br />After a detailed audience analysis is completed, a communications plan is put <br />into place to make sure all vested parties are communicated to on a frequent <br />basis. The types of tools that are used in this step include: a dedicated web site <br />for the project, face -to -face meetings, input to the city's newsletter, direct mail, <br />council meetings, one -on -one meetings, group meetings and phone calls. <br />An important aspect of this communication is the opportunity for two -way <br />dialogue. For example, the web site would be set up to allow people to send in <br />questions they have and receive a response within a couple of days. If <br />particularly hot topics were identified through this process, more detailed <br />communication on the topic could be incorporated into the web site and other <br />forums to reach out to a broader audience with the information needed to <br />respond to communication needs. <br />Who Completes: <br />Benchmark Community Builder Collaborative <br />Outcome: <br />Communication is frequent and ongoing so that all constituents are kept full up- <br />to -speed on the project. <br />All Rights Reserved 7 <br />
