• <br />AGENDA ITEM 5A <br />STAFF ORIGINATOR: Rick DeGardner, Public Services Director <br />DATE: August 8, 2011 <br />TOPIC: Approve Resolution 11 -81, Awarding Cleaning Contract to <br />Jani -King of Minnesota, Inc. <br />VOTES REQUIRED: Simple Majority <br />BACKGROUND <br />Currently, the Public Services Department employs a full -time Building Custodian to clean the <br />Civic Complex. In addition, part -time staff is used to provide cleaning duties at the Public Works <br />facility and provide assistance as needed at the Civic Complex. As part of the overall <br />organizational assessment process, staff explored the costs of contracting out cleaning services. <br />Two Cleaning Services (Jani -King and Coverall) were contacted to submit cleaning proposals for <br />the Civic Complex (City Hall and Police Departments) and the Public Works facility. After careful <br />examination, staff has concluded that Jani -King provides the best (and most economical) <br />proposal for cleaning services at the Civic Complex and the Public Works facility: <br />Jani -King $3,391 per month <br />Coverall $3,806 per month <br />The City will realize an immediate annual savings of approximately $50,000. The term of the <br />Maintenance Agreement is for one (1) year from the date services are scheduled to commence. <br />There is also a provision for terminating the agreement for non - performance issues. <br />OPTIONS <br />1. Approve Resolution 11 -81, Awarding Cleaning Contract to Jani -King of Minnesota, Inc. <br />2. Do not approve Resolution 11 -81. <br />RECOMMENDATION <br />Option No. 1 <br />
