CITY OF LINO LAKES <br />POSITION DESCRIPTION <br />TITLE: <br />DEPARTMENT: <br />DIVISION: <br />SUPERVISOR: <br />STATUS: <br />Administrative Assistant <br />Public Safety <br />All <br />Public Safety Director <br />Full Time/Non-Exempt/AFSCME <br />PRIMARY OBJECTIVES <br />Provide technical assistance for the Public Safety Department and coordinate department services <br />and policies. This position performs a variety of office support functions in a prompt and <br />accurate manner that contributes to the efficiency and effectiveness of department operations. <br />ESSENTIAL JOB FUNCTIONS <br />1. Provide clerical assistance, such as typing, copying, filing, faxing, mailing, scheduling <br />appointments, and other related duties. <br />2. Assist in the research and preparation of reports as needed to promote the efficient and <br />effective operation of the department. <br />3. Maintain accurate payroll records for department employees, process timesheets bi- <br />weekly, retain overtime records, track and manage work profile sheets, and compile, <br />process, and maintain employee packets. <br />4. Answer and route phone calls to proper staff members; greet and conduct business with <br />the public; assist with department program registrations; tracks meeting and training <br />room reservations; provide backup for phones and front counters when needed. <br />5. Maintain department's filing and record retention system in accordance with the Data <br />Privacy Act and City retention schedule. <br />6. Perform routine financial duties, which include collecting fees, preparing deposits, <br />maintaining records of program fees, coding invoices, maintaining budget records, <br />maintaining petty cash fund, and reconciling credit card transactions. <br />7. Record accurate records of department meetings and workflow documents. <br />8. Perform other duties as assigned or apparent. <br />The following job functions are intended to illustrate various types of work performed and are <br />not all inclusive.
