<br /> STAFF REPORT <br />DATE: September 16, 2025 <br /> CONSENT <br /> <br />TO: Mayor and Councilmembers <br />FROM: Jennifer Doyle, Administrative Services Coordinator <br />AGENDA ITEM: Approve Position and Job Description for Administrative Assistant- PW/Fire <br /> <br /> <br />CORE STRATEGIES: <br /> <br />☐ Vibrant, inclusive, connected community ☒ Efficient, reliable, innovative services <br />☒ Responsive, transparent, adaptive governance ☐ Balanced Finances now and future <br />☐ Managed Growth ☐ Resilient Infrastructure <br /> <br /> <br />BACKGROUND: The Deputy City Clerk position was vacated in December 2024 and has not been <br />filled as staff wanted to evaluate what position would be best to meet the needs of the organization. <br /> <br />ISSUE BEFORE COUNCIL: Should the Council approve the Administrative Assistant position and job <br />description. <br /> <br />PROPOSAL DETAILS/ANALYSIS: With the exit of our Deputy City Clerk employee, staff wanted to <br />evaluate what position would be best to meet the needs of the City before filling the vacancy. Raftelis <br />gave a recommendation to hire an Administrative Assistant for Public Works to handle some tasks that <br />were currently being done by the PW Director or Assistant Director but didn’t feel a full-time position <br />was needed at this time. Staff evaluated the needs of the City and determined it would be best to create a <br />shared role at City Hall that would assist Fire and Public Works and be available to assist residents in- <br />person and on occasion, back up the City Clerk. Using the SAFE evaluation system that the City has <br />approved to slot positions the position was determined to be a grade level 5 ($27.39-$36.80) equal to the <br />Deputy City Clerk position. <br /> <br />FISCAL IMPACT: There is no financial impact to the budget as the Deputy City Clerk position was <br />budgeted for but never filled. <br /> <br />OPTIONS: Approve or deny the Administrative Assistant position and job description. <br /> <br />RECOMMENDATION: (if pulled from Consent) <br />Motion to approve the Administrative Assistant- PW/Fire position and job description. <br /> <br />ATTACHMENTS: <br />Administrative Assistant PW/Fire job description.
