<br /> <br /> <br /> <br /> <br />POSITION TITLE <br />Administrative Assistant- Public Works/Fire <br /> <br />DEPARTMENT REPORTS TO GRADE LEVEL STATUS <br />Administration City Administrator 5 Full-time, Non-Exempt <br /> <br /> <br /> <br />POSTION SUMMARY <br />Under general supervision, this position provides administrative support to the Public Works and Fire departments <br />while providing excellent customer service to the public. <br /> <br /> <br /> <br />PRIMARY AREAS OF ACCOUNTABILITY <br />• Receive, screen and route calls, greet visitors, provide information, explanations and assistance to the <br />public and other employees or direct to the appropriate staff while providing excellent customer service <br />and maintaining a favorable image of the City <br />• Perform data entry and review for various records, reports and databases <br />• Provide administrative support to the Public Works and Fire Departments including but not limited to: <br />document management, records retention, data requests, research, stats, etc. <br />• Create, update, edit and proofread various documents, policies and procedures <br />• Process various permits (burning, fire code, right-of-way, temporary parking, etc.) <br />• Coordinate facility maintenance with staff and/or vendors <br />• Create Parks Commission packets and minutes accurately and timely <br />• Assist with department communications on City website <br />• Manage office equipment and supplies; maintenance, troubleshoot issues etc. <br />• Provide back-up support to City Clerk in their absence <br />• Management of special projects assigned <br /> <br />Public Works <br />• Manage online park reservations, right-of-way permits, temporary parking permits and winter sidewalk <br />violations <br />• Enter resident and staff reported maintenance issues as work orders <br />• Assist with creating information and event updates on Public Works website page <br />• Assist with abatement and fuel reports and invoicing <br />• Submit compliance reports <br />• Assist with new account set ups <br />• Coordinate Safety meeting agendas and create meeting minutes <br />• Coordinate staff training registrations <br />• Print large scale maps and documents using plotter printer <br /> <br /> <br /> <br />
