when staff will deliver the research and information to aide in the discussion. Staff need time to
research, draft, and prepare agenda topics Council wishes to explore. As discussed during goal setting the City
Council and staff shared what they expect from each other. Staff requests clear/direct
expectations, collaboration and resources to meet council expectations and the City Council expects staff to
think critically, provide research/data, and conduct analysis of problem/issues, etc.
Future Agenda Tracker
Our future agenda tracker is how staff manage workload related to council priorities and operations of the city.
This tracker is modified daily to accommodate changes in workload, time needed to complete research, analysis
and recommendation as well as items that come up to carry out day-to-day operations. Many items on this
tracker take staff weeks to complete as staff are often juggling many tasks at one time. Some items take less
time to complete.
Staff prepares the city council packet the Thursday before the City Council meeting. The internal deadline for
staff to complete items for the packet is on Tuesday before the packet creation. This allows for the City
Administrator to review and provide feedback to staff. This deadline date is included on the future agenda
tracker. Below is a calendar showing dates of meeting and deadlines for staff.
The City Council currently has regular workshop meetings. The workshops provide a setting to help stream-
line the decision-making process by allowing discussion to resolve issues and provides more transparency
allowing for in depth discussions to take place before formal action is taken at a Regular meeting. Does Council
wish to add workshop discussion items to regular council meeting agendas?
The current ordinance was developed during of period of a less cooperative council. While the current
council might feel they don’t require the impediments stated in the ordinance, that does not mean that future
councils will be as accommodating. The ordinance should be able to function for both types of councils.
