17. Provide supervision to oversee the day to day operations, including, but not limited to, <br /> overseeing the marketing, scheduling, reservations for programs, parks, equipment, <br /> ballfields, etc., and day to day operating procedures for the Rec Center and recreation <br /> programming. <br /> 18. At least one YMCA representative shall be at the Rec Center whenever the Rec Center is <br /> open to the general public or wherever a program or activity is taking place at the Rec <br /> Center. Two or more YMCA staff members must be on duty at closing. The YMCA will <br /> be responsible for ensuring that the building is empty and locked prior to leaving. <br /> 19. Inform the City of any problems with the custodial service or any additional custodial <br /> services that are needed. <br /> 20. The YMCA may provide input into vendors and products to be offered through vending <br /> services, but acknowledges that the City shall have the right to enter into exclusive <br /> agreements for some or all of such products. <br /> 21. The YMCA shall have the right to offer City-approved merchandise such as clothing or <br /> athletic supplies for sale. <br /> 22. Develop program descriptions and prepare brochures and other promotional materials. <br /> Provide the City with camera ready material for promoting Mounds View programs and <br /> facilities for inclusion in at least four Mounds View Matters newsletters. If the City <br /> publishes additional newsletters, the YMCA may request space for additional <br /> promotional materials and will provide such material in a camera-ready format. <br /> 23. Take reservations for Rec Center and Parks and recreation programs. Schedule events <br /> and facilities, and maintain a master engagement calendar showing all reservations and <br /> events. <br /> 24. Develop and maintain systems to ensure adequate internal controls and accurate timely <br /> reporting of financial information. Such systems are subject to the review and approval <br /> of the City. <br /> 25. Develop fees, charges and/or deposits for programs, equipment and facilities. Such fees, <br /> changes and/or deposits shall be set and modified in consultation with the City. <br /> 26. Collect fees, charges and/or deposits for programs, equipment and facilities. <br /> 27. Record all fees, charges, deposits and outlays in a form acceptable to the City. The City <br /> shall be able to review any YMCA records relating to its activity under the contract. By <br /> June 30, the City shall be provided with an audited financial statement for the YMCA for <br /> the previous year. If the City requests a separately audited report for the services <br /> provided under this contract, it agrees to reimburse the YMCA for such costs. <br /> 18 <br />
