POSITION DESCRIPTION • <br />Position Title: Administrative Assistant -Public Works <br />Department: Public Works <br />Accountable to: Public Works Director <br />Status: Non-Exempt <br />PRIMARY OB.IECTIVE OF POSITION: <br />Provides a variety of routine and complex clerical, secretarial and administrative work in keeping <br />records, providing administrative support to the Public Works staff. To provide first contact with <br />customers or vendors on matters specifically related to Public Works or other general inquiries <br />through personal and telephone contact. <br />SUPERVISION RECEIVED <br />Works under the supervision of the Public Works Director. <br />SUPERVISION EXERCISED <br />None. <br />ESSENTIAL DUTIES AND RESPONSIBILITIES <br />Composes or transcribes neat and accurate correspondence, memos, letters, reports, and • <br />related materials as requested or directed by departmental personnel to provide <br />information, instructions and meet deadlines. <br />• Sets up and maintains an orderly filing system for a variety of records and correspondence <br />including citizens complaints, boulevard damage lists and marking stakes, key <br />classification system, street Ii~htin~, recycling and hazardous waste records to ensure <br />prompt retrieval of information as required or requested. <br />Accurately inputs fleet maintenance data, accounts payable data and work activity records <br />into computer to ensure correct tabulation of records. <br />• Answers telephone calls in a businesslike manner and takes accurate messages and <br />schedules appointments for staff members unavailable due to meetings or absences. <br />SenTes as back-up to the "°°104^~` F^" Administration for City Hall <br />~,~^~^ ~^u~-^=~ counter assistance. <br />• Responds to citizen requests and complaints in a manner consistent with City policies and <br />regulations and promotes and maintains a favorable image of the City through positive <br />community relations. <br />• Instrumental in the Kirin of fuII time and seasonal em log°ees b advertising far the <br />Qosition(s), scresnin~ and pointinS the applications, setting up interviews, • <br />
