Item No: 9D <br />MT �T Meeting Date: January 8, 2018 <br />OUNDS VIEW Type of Business: Council Business <br />Administrator Review: <br />City of Mounds View Staff Report <br />To: Honorable Mayor and City Council <br />From: Don Peterson, Director of Public Works <br />Item Title/Subject: Resolution 8891, Approving Miscellaneous Purchases for the <br />Public Works Facility <br />Background/Discussion: <br />During the design phase of the Public Works Facility (City Project No. 2017 -CO2) it <br />appeared that the cost of the total project may exceed the budgeted amount. As a result, <br />Staff and the designer removed some features in the building construction contract. <br />These items were included in the overall project budget but would be purchased outside <br />the contract by City Staff as a cost savings measure. As part of the budget an allowance <br />of $40,000 for furniture was included. This furniture allowance included new office <br />furniture, break room tables and chairs, kitchen appliances as well as shelving and pallet <br />racking for the various storage areas in the building. <br />Public Works Staff also had a discussion with City Administrator Zikmund in regards to <br />moving all Public Works Administrative Staff to the New Facility this discussion was in <br />part looking at the need for space at City Hall as well as consolidating the entire Public <br />Works Staff in one building to create a more efficient and cohesive department. This was <br />discussed at the January 2, 2018 Council Work Session with Council consensus to <br />consolidate the Department. <br />As part of the Work Session discussion, the Council was informed that new office space <br />would need to be built out in the front office area. The area being proposed is currently <br />open office space and very little would be needed to add three hard shell offices in this <br />area. <br />Discussion: <br />Staff has received quotes for these items from local vendors from within the City of <br />Mounds View as well as the neighboring Cities. The following is a breakdown of the <br />estimated costs for the items: <br />• $4,250 -kitchen appliances — refrigerators, microwave, dishwasher, electric <br />range, from Steve's Appliances. <br />• $7,750 -shelving, tire rack, work benches, television. From Grainger, <br />Menards and Best Buy. <br />• $19,648 office furniture, break room furniture from State Contractor, iSpace <br />of Minneapolis. <br />Staff has received a quote/ change order to build out three hard shell offices from Ebert <br />Construction for a cost of $ <br />Total for furniture and office build out is $41,648. This is $1,648 of the allowance built into <br />
