Administrative <br /> • Assists department heads with long-range planning and budget preparation. <br /> • Coordinates performance measurement system in accord with LPA stipulations. <br /> • Acts as Deputy City Clerk. <br /> • Maintains office equipment including fax, copier and typewriters, scheduling routine <br /> maintenance and repairs. <br /> • Cooperates in support functions with all other City departments. <br /> • Assigns and/or backs up staff liaison to Human Rights Commission. <br /> General Office <br /> • Provides general clerical support work for all departments as needed. <br /> • Assists in switchboard and reception back-up duties as needed. <br /> • Sets up and cleans up for meetings as needed. <br /> • Performs other duties as assigned. <br /> Elections <br /> • Provides back-up to City Clerk in all aspects of election procedures and requirements. <br /> KNOWLEDGE AND SKILL REQUIRED <br /> — Knowledge of the organization and functions of City Departments. <br /> — Ability to keep accurate records,to assemble and organize data, and to prepare <br /> standard reports from such records. <br /> — Ability to use the computer for word processing,spread sheets, database packages, <br /> and other various computerized packages as assigned. <br /> — Extensive knowledge of computers including ability to work with Desktop Publishing <br /> applications and equipment. <br /> — Ability to deal effectively and courteously with the public and staff. <br /> — Ability to work independently on a wide variety of projects and assignments. <br /> DESIRABLE TRAINING AND EXPERIENCE <br /> — BBA or Business school graduate. <br /> — Four or more years experience as an Office Manager or Customer Service Supervisor. <br /> — Experience with MS Office 97, including Word 97,Excel 97, and Powerpoint 97. <br /> — Experience with Pagemaker desktop publishing software. <br /> — Experience with database management. <br /> — Experience in designing, writing, editing, and publishing newsletters. <br /> — Able to transcribe from dictation. <br /> — Experience with performance measurement systems or quality initiatives. <br /> MINIMUM REQUIREMENTS <br /> — Three years continuous experience as a supervisor in an office environment <br /> supervising clerical or customer service staff. <br /> — Three years of experience in a responsible clerical position. <br /> — Able to type 50 words per minute. <br /> — 2 years experience with word processing and spreadsheet software applications in a <br /> Windows environment. <br /> — 1 year experience with desktop publishing or related software. <br /> — Able to communicate effectively and maintain effective working relationships. <br />
