Provide all customary services provided by a banquet facility manager, including, but not <br /> limited to, the following: <br /> a. Making reservations for the Facility in accordance with reasonable policies <br /> developed by Images and approved by the City; <br /> b. Collecting and charging deposits and fees for the use of the facility and <br /> equipment; <br /> c. Recruiting and hiring staff and providing them with training, assigning and <br /> scheduling their work, and monitoring their performance; <br /> d. Scheduling events and reservations, and maintaining a master engagement <br /> calender showing all reservations and events; <br /> e. Address rate and other fee issues; and <br /> f. Developing rental contracts, caterer agreements, and other such contracts relating <br /> to the Facility with the City's assistance. <br /> 6. Develop and maintain systems to ensure adequate internal controls and accurate timely <br /> reporting of financial information. Such systems are subject to the review and approval <br /> of the City's Finance Director. Images will remit deposits collected and fees earned from <br /> rentals to the City no later than Thursday for the previous week. <br /> 7. Provide any computer(s) and software for use at any location other than that provided by <br /> the City and/or for any special applications. Special applications are any application <br /> other than word processing, spread sheets,reservations, or e-mail. <br /> 8. Promote the Facility. Advertising will be considered a separate line item in the Facility <br /> budget. Any expenditures in excess of the approved budget for advertising will be borne <br /> by Images. <br /> 9. Conduct the operation of the banquet facility in such a manner so as to not bring undue <br /> criticism upon the City. Images shall not permit the sale of 3.2% malt liquor or <br /> intoxicating liquor in a manner contrary to any law or ordinance or the provisions of any <br /> applicable liquor license, permit, or policy for the Facility. <br /> 10. Maintain a price list or printed schedule of prices of all available rentals, commodities <br /> and services which will be available during normal business hours of the Center. All <br /> prices shall be competitive with similar establishments within the service area. <br /> 11. Except as noted below, take reservations on a first come, first serve basis, in accordance <br /> with the policies for the Facility. Reservations will be allowed on the second business <br /> day of every year for the period from January 1st to June 30th of the subsequent year, and <br /> on the 2nd business day of July of every year for the period from July 1st to December <br /> 31st of the subsequent year.
