<br />Item No: 7E <br />Meeting Date: 7-23-12 <br />Type of Business: CB <br />Administrator Review : <br />City of Mounds View Staff Report <br /> <br />To: Honorable Mayor and City Council <br />From: Tracy Juell, Public Works Administrative Assistant <br />Item Title/Subject: Resolution 7972 Approving the Purchase of 400 chairs for the <br />Event Center in the Mounds View Community Center <br /> <br />Introduction: <br /> <br />The Mounds View Community Center was built in 2 phases in 1997 and 1998 and during that <br />timeframe 400 chairs were purchased for the Event Center. Many of these chairs are broken or the <br />frames are bent and/or bowed also the colors of the fabric are reminiscent of the 1997/98 era. <br /> <br />Discussion: <br /> <br />The 2012 budget includes $40,000.00 for replacement chairs for the Event Center in the Community <br />Center. <br /> <br />Staff has been in contact with MinnCor Industries regarding the chair purchase for the Event Center. <br />The City can purchase furniture through the Cooperative Purchasing Venture (CPV), a members- <br />only program that enables participating governmental units, such as Mounds View, to purchase <br />goods and services under competitive contract terms established by the State of Minnesota. (The <br />State did the “leg work” to get the lowest cost for goods and services that are offered through the <br />CPV Program for member agencies.) <br />Staff received a quote for replacement chairs for the Event Center and it is as follows: <br />• $137.25 each ($105.00 for the frame and $32.25 for the fabrics) <br />400 x $137.25 = $54,900.00 <br /> <br />• $2,000.00 Freight <br />(The manufacturer, MTS Seating, is located in Michigan. Originally MTS Seating quoted <br />$2,745.00 for the freight costs. Our representative, Jessica Berg, MINNCOR Industries, <br />negotiated it down to $2,000.00 which equals $5.00/chair.) <br /> <br />• $3,911.88 Sales Tax <br /> <br />Total: $60,811.88 <br /> <br />Further Discussion: <br /> <br />• The frame has a 12 year warranty. There are re-enforced bars on each of the sides of the <br />frame. These chairs are stackable. <br />• The vinyl for the seat is a grade 13 and is black with a subtle pattern. Staff learned about <br />grades and fabrics through the process of the furniture reupholster in 2010 for the <br />Community Center. Grade 13 is an excellent grade that will withstand the rigorous usage <br />that these chairs endure. The abrasion resistance is 250,000 double rubs (sit down and get <br />back up again) and is considered very durable. The vinyl can be cleaned using a mild water <br />based solvent. <br /> <br />
