Continuation Item No: 7E
Meeting Date: 7-23-12

• The fabric for the back of the chair is a grade 12. The pattern is subtle and the color is
"graphite" and will match nicely to the existing surroundings and any future improvements.
The abrasion resistance on the fabric is 50,000 double rubs which is considered heavy duty.
The fabric can be cleaned with a mild water based solvent. (One may ask why not choose a
lower grade fabric - won't it lower the cost of the chair? No, the manufacturer of the chair
bases the cost of all the fabrics on the higher grade therefore there is no reason to
compromise on the quality of the fabric for the back.)
• The frame finish is a brushed aluminum. (The suggestion for this finish was made by the
Event Center Coordinator. The brushed finish will not show off finger prints such as a gloss
finish nor would it show a paint chip or scratch such as a darker color.)

Continued Discussion:

• The proposed chairs are made in the USA.

• Do we require 400 chairs? The capacity of the event center is 400. The Event Center
Coordinator stated there have been many times they have almost reached capacity and are
in need of the chairs. To be honest, to try and match fabrics/styles at a later date is not
practical; the fabric for these 400 chairs will be manufactured at the same time and therefore
will be a consistent dye lot. Also, there should be a conscientious concern that the style
could be discontinued or the cost for the textiles may increase in the future.

• $40,000.00 is in the 2012 budget for this purchase. The Finance Director has stated that the
additional funds required are available. City Council would need to authorize an amendment
to the budget for the additional funds.

• The existing banquet chairs, approximately 380 in useable condition, purchased in 1997 or
1998, can be sold through the League of Minnesota Cities website or possibly at an auction.

• This purchase will enhance the appeal of the Event Center for the current and future patrons
of the facility.

Recommendation:

Staff recommends purchasing 400 chairs from MTS Seating located in Michigan in the amount of
$60,811.88 which includes freight and sales tax. $40,000.00 is currently budgeted in account 252-
4730-7030 for replacement chairs. The additional $20,811.88 would require an amendment by the
City Council to the budget.

Respectfully submitted,

Tracy Juell, Administrative Assistant
