1. What chairs will be used and who will provide them, set them up and <br />take them down? <br />- The chairs that will be used will be from the event center. <br />Volunteers or YMCA staff will set up and take down chairs. <br /> <br />2. What will the PA system be used for and can the band get by without <br />it? <br />- The PA system will be used solely for announcing our program, not for <br />amplifying any instruments. If we can provide the power drop, they will <br />use it for one mic. <br /> <br />3. Will there be any labor costs to the city? <br />- It was originally mentioned that city staff may be needed to clean <br />up, but that is no longer anticipated. Volunteers and/or YMCA staff <br />expect to set up and take down the chairs without any city staff <br />involvement. <br /> <br />4. What will the back-up plan be in case of inclement weather? <br />After further discussion with the band, a back-up date is not an <br />option. Pending council approval, the concert date has been set for <br />June 9th. The band director and Pat Prindle will be looking at the site <br />on Thursday, May 7th to see if there would be facilities that could be <br />used in case of a light rain or in case of cloudy weather. If the event <br />can not be held due to inclement weather and the event is cancelled <br />prior to 2 hours before the start time, we will receive a full refund <br />of the money. <br /> <br />5. What time do we want the event to start? <br />A 6:30 or 7:00 p.m. start time has been discussed. The final start time <br />will be finalized shortly. <br /> <br /> <br />6. Where will the event be held? <br />- City Hall park, exact location will be determined during the May 7th <br />walk through with the band director. <br /> <br />Key points <br /> <br />7. The Parks, Recreation and Forestry Commission is looking for a <br />verbal commitment from the council during the work session on May 4th to <br />continue to plan the event and to ensure ample time for advertising. <br /> <br />8. The desire to have an exemption from the current special event <br />permit as the event timing requires that we have the event prior to <br />final approval of that item. <br /> <br />9. The below listed businesses have committed to sponsoring the event <br />and they will be included in the advertising as be provided with space <br />to promote their business at the event. (This will be limited to a <br />specific space anticipated to be a table with printed flyers or <br />brochures. No other media will be accepted and we will work with City <br />Staff to ensure that the city code regarding this is adhered to.) <br /> <br />BioLife <br />DealSmart <br />Totino's <br />Car's
