bAfVC1 <br /> • MEMO TO: MAYOR AND CITY COUNCIL = <br /> FROM: ADMINISTRATIVE SECRETARY/DEPUTY CLERK <br /> DATE: SEPTEMBER 13, 1990 <br /> SUBJECT: COUNCIL MEETING VIDEO TAPES <br /> In a conversation with Mayor Hankner on Wednesday, September <br /> 12, 1990 I brought up the subject of video tapes that are <br /> being requested by the public for viewing or loan. <br /> I researched our records and found that we do have a policy <br /> (88-2) for retention of video tapes and a corresponding <br /> resolution (Resolution No. 2277) . These two documents are <br /> attached to this memorandum. In reviewing this information I <br /> feel that No. 3 in both documents should be rewritten as <br /> follows: <br /> Any individual wishing to view video tapes of <br /> Council meetings may sign them out with the <br /> Clerk's office in lieu of a $20 . 00 refundable <br /> deposit upon their return. If the individual <br /> wishes to purchase a tape of the meeting the <br /> • ' charge would be $20.00. <br /> The revenues from these tapes should be placed back in the <br /> Cable TV budget. <br /> The purpose for changing the current policy is there are many <br /> more requests being made to view the tapes and to have persons <br /> make an appointment, have the Clerk's Office set up the VCR <br /> and tape, locate the tape and then return the VCR takes time <br /> from the other many duties of the staff. This also requires <br /> keeping track of the time spent in setting up this equipment <br /> and then keeping track of the time when the more simple way <br /> to handle this would be to loan out the tape requiring a <br /> deposit. <br /> The only time there would be a problem with this would be when <br /> the individual who wants to view the tape does not own a VCR. <br /> I think Item 4 could be deleted as the new Item 3 would cover <br /> this effectively. <br /> /mjs <br />
