Adjournment: Meetings shall adjoum at or before i I:00 p,m. unless a two-thirds <br />majority of the members preseni agree to extend the time of adjournment. If there is no <br />objection, the Chairperson may declare the meeting adjourned withouf the necessity of <br />a motion or vote by the Commission. <br />D. MINUTES: Minutes sha11 be recorded for regular rneetings and each commission member <br />shall recaive a copy of the unapproved minutes for review and approval at a succeeding <br />meeting. Minutes shall be approved by motion. Approved minutes shall be the ofiicial <br />record of the business conducted and actions taken by the Planning Commission. <br />Commission members may request capies of approved nninutes after they have been <br />corrected, if necessary, and signed as approved. Copies of the approved minutes sha11 be <br />fiied with the Comimunity DeveIopment Department. Unapproved minutes shall be clearly <br />marked "DRAPT"; approved minuies shalt be �narked "APPROVED". A policy statement <br />regarding the content and format of the minutes sha11 be on file with ihe Director of <br />Community Development which may be revie�ved from time to time as needed. <br />VL I1�FOIbI�ATIOlVAL PACI�TS: Each Commissioner shall receive a staff report, plans ar�d <br />additional informarion, as appropriate, foz each item placed on the agenda for any regular or <br />special meeiing. The Commission packet should be delivered at least four days prior to the <br />me�ting. Each Commissioner is responsible for reviewing the material �within the pacicet priar to <br />the meeting. <br />_� <br />VII. PI80FE5SIOI�TAL, COl<iSLTLT'.�1�ITS: Advice from, consulta.tian with, and/or requests for ' <br />review by the City Attorney, City Engineer, City Planning Agency, or other paid consultants sha11 <br />be in accordance wifih the Municipa.l Code, Saction 401.07. <br />VIII. SUPPLEIVIEN�'AYtl' PUBI.IC!-!�'IOI�T�: All Commission members shall receive a copy of the <br />Mounds View Municipal Code and a copy of the Municipal Comprehensive Plan as well as other <br />materials provided by the City Counci( or City Staff. These materials shall be retained by each <br />commission rnember and returned to the Commianity Development Director upon the member's <br />resignation ar termination of appointment. <br />� � � ,h i� ` ; ; � ,�� .. <br />A, AT7'ENDANCE: Commission mernbers shall advise the desigz�ated Staff inember or the <br />Commission chairperson of an anticipated absence from any regularly scheduled Ptanning <br />Commission meeting. Any member attending less #han 20 meetings par year wi#hout the <br />consent of the Commissian shail be deemed to have vacated the office, and such vacaricy <br />shail be filled by the City Council pursuant to Section 401.03, Subd. 1. A leave of absence <br />may be granted by the conseni of the Comtnission. <br />B. CONFLICT OF iNTEREST.• <br />1. General Standard: No Co�nmissioner shall be appoiriied with private or personal <br />interests likely to conflict with the general �ublic interest. If any person appointed to <br />the Comir�ission shall find tl�at their private or personal interests ase involved in any <br />matier coming before the Commission, they shall disqualify themseives from talcing <br />part in any discussion or action an the mattez; altematively, they may be disquaiified by <br />
