Reports of Members 4 <br /> 5 <br />Amundsen explained the Commission had a contentious meeting in May. He stated if the 6 <br />Commission felt he was being rude on that evening, he wanted to apologized as this was 7 <br />not his intent. He commented his intent was to understand what he was supposed to be 8 <br />doing. He reported a hearing was held before a Judge on August 5th, which the Council 9 <br />pursued and the Court has up to 90 days to make a decision. 10 <br /> 11 <br />7. Unfinished Business 12 <br /> 13 <br /> Review TimeSavers prepared minutes and discuss future use. 14 <br /> 15 <br />Thomas discussed the TimeSaver minutes and noted the City Attorney advised this group 16 <br />that only summary minutes were required, which was then put into the Commission’s 17 <br />bylaws. He requested comment from the Commission on how to proceed. 18 <br /> 19 <br />Clawson stated he believed the TimeSaver minutes were too detailed and that a narrative 20 <br />was not necessary. He recommended the minutes only reflect the action taken. He 21 <br />commented the minutes that had been taken over the past two years were fine and 22 <br />properly captured the action that occurred. He did not support spending the City’s money 23 <br />for additional sets of minutes. 24 <br /> 25 <br />Peterson commented in fairness to TimeSaver they were directed to add more detail than 26 <br />too little detail. He explained when he served on the Planning Commission in the mid 27 <br />1990’s a staff member completed the minutes. He reported the Planning Commission 28 <br />was directed by the City Attorney to have summarized minutes of what was done and not 29 <br />all that was said. He indicated he did not think TimeSaver minutes were a bad thing, but 30 <br />noted it was not very different from the work that was already being completed by 31 <br />Amundsen or Thomas. 32 <br /> 33 <br />Thomas stated it was his hope one more set of minutes would be completed that more 34 <br />closely reflected the Commission’s bylaws. He believed it was easier to review and 35 <br />approve this type of minutes. 36 <br /> 37 <br />Amundsen asked if City staff could request TimeSaver to submit minutes that more 38 <br />closely reflect the bylaw requirements. Assistant City Administrator Beeman reported 39 <br />this request could be made. He explained TimeSaver completed the City Council, EDA 40 <br />and Planning Commission minutes and provided a summary format for these minutes. 41 <br /> 42 <br />Peterson expressed concern that minutes were not being corrected prior to being placed 43 <br />on the City’s website. 44 <br /> 45
