MEMO
To: Parks and Recreation Commission
From: Mary Saarion
Subject: Community Center Update
Date: August 19, 1998
Request for proposals for Community Center Management were advertised with the deadline of
August 2, 1998. Three proposals were received by Administrator Whiting, but it is my
understanding that they have not been opened to date. Administrator Whiting will be returning
from his honeymoon Wednesday, August 26 so perhaps I will have more information to bring to
you regarding the proposal at the meeting. It is anticipated that an appointed group will be
reviewing these proposals. Representation by the Parks and Recreation Commission has been
suggested to be Chair Silvis and Council representative suggestion to be Council Member Gunn.
City Administrator Whiting and Finance Director Kessel will most probably represent Staff.
If you have any concerns, suggestions or ideas regarding management of the Community Center,
please feel free to give your input at the meeting.
The Community Center time line seems to be on track. Community Education classes will begin
in that section of the building September 8. The saga of the basketball goals is continueing as the
extension of the door width to accomodate the portables is costly because it requires a change -
order. Public Works Director Ulrich is handling all change -orders and purchasing. Several
catalogue options for both portable and ceiling installed goals have been provided for
consideration. I have made clear that it is important that goals are able to vary heights and must
be installed so that they do not get in the way of volleyball competition (air space).
The City Council approved the bid for chairs, tables, etc. for the interior of the building. They
went for the "ball of wax" which will be a great asset to the aesthetics and marketing of the
banquet room in particular.
The new St. Paul area white pages have been distributed and with it is the ad for the Community
Center banquet room. I have received several calls regarding banquet rental information.
However, because the management, marketing, etc. of the building has not been determined yet,
we do not have answers to all the questions that people have ie. Catering options, beverage
options, rules and regulations and policies ie. For decorating, hours of operations, kinds of
activity ( ie. I have had a California concert booker asking to rent the facility for Memorial
Weekend, 4th of July and Labor Day weekend of next year for pre -sold ticket concerts). These
and other decisions will need to be made soon so that we do not miss out on rental revenues.
