Comparable Space Policy <br />In the event that a private user or a commercial user requests a room that is already reserved by a <br />community organization, the request will be granted if a comparable room is available for the <br />community organization. <br />Community Group Cancellation Policy <br />All cancellations must be made at least ten (10) days before the scheduled event. Any <br />cancellations after this time, will be charged one-half of the standard rental price for the scheduled <br />room. <br />City Cancellation Policy <br />It is the City's intention to limit the number of cancellations. Every effort will be made to <br />accommodate all facility reservations. However, in the event that a cancellation is necessary, as <br />much notice as possible will be given to the facility user. <br />Fee Structure <br />Fees will be charged according to the City Council approved fee structure. This includes room <br />rental fees, food and beverage service, audio/visual equipment, flip charts and any other special <br />request. <br />Community organizations will not be charged a meeting room rental fee Monday through <br />Thursday evening unless: <br />1. A set up that is different from the typical room arrangement is required <br />2. The purpose of the meeting/event is not directly related to conducting business or <br />the participants are required to pay a fee for the event (ie. Year end athletic party, <br />fundraiser). <br />Community groups will be charged for: <br />1. Audio/visual equipment <br />2. Food and beverage service <br />3. Flip charts <br />4. Any other special request <br />
