POSITION DESCRIPTION <br />Position 'Title: Receptionist <br />Department: Administration <br />Accountable To: Human Resource Director <br />Status: Part -Time, Non -Exempt <br />PRIMARY OBJECTIVE OF POSITION <br />Responsible to provide high quality customer service to the public, and internal customers. <br />Receives and refers inquiries to appropriate personnel. Performs administrative duties including <br />word processing, data entry.. mail processing, cash receipting, and providing support to the <br />Human Resource Director. Maintains office supplies, schedule meeting room reservations and <br />assists other departments as time allows. Assists with City's Recycling Program. <br />SUPERVISION RECEIVED <br />Works under the guidance and direction of the Human Resource Director. <br />SUPERVISION EXERCISED <br />None. <br />ESSENTIAL DUTIES AND RESPONSIBILITIES <br />• Greet visitors at City Hall and answer questions or direct to staff member/ department <br />able to assist with customers' request, while providing excellent customer service and <br />maintaining a favorable image of the City. <br />• Process all outgoing and incoming mail. Promptly distribute mail to appropriate <br />departments. <br />• Provides posts and graphics on the City's electronic bulletin board. <br />• Maintains up-to-date directory of telephone numbers and addresses necessary for public <br />information. <br />• Maintains the lobby, office supply/mail room and front counter area in a neat and orderly <br />condition removing all outdated notices, posters, etc. <br />• Prepares Council Chambers for meetings and cleanup (following day). <br />• Performs cash receipting (utility billing credit card payments) including collecting fees <br />and issuing receipts (for certain licenses, permits and bills). <br />• Assists with utility billing and accounts payable processes and procedures as needed. <br />• Coordinates dog license activities including the ordering and issuance of dog tags, data <br />entry and receipt of payments. <br />+ Handles annual kennel licensing for City. <br />• Answers recycling questions. <br />• Assists in the recruitment process by posting job announcements, coordinating the <br />interview process, and notarizing background forms. <br />• Assists with the record management function for the HR Department. <br />• Scans and properly files documents into digital filing system to ensure efficient and <br />effective future retrieval of both confidential and non -confidential information. <br />• Assists the HR Director with tracking employee completing of training activities. <br />• Updates HR forms as directed. <br />• Assists the HR Director coordinate employee related events such as Employee <br />Appreciation. <br />• Performs word processing, including, but not limited to forms, fillable PDFs, licenses and <br />general correspondence. <br />• Prepares and distributes City Council and Economic Development Authority packets. <br />• Assist with recycling "clean-up" events for residents. <br />• Tracks recycling reports from trash haulers and submits quarterly to county. <br />
