-5-
8 . Overall key functions were easier for operator .
1111 Attached is a sales brochure from Computer Central illustrating
the MICOM 3000 series system.
During staff review of the demonstrations and the discussion of
which system would be most desirable it became apparent that the
suitability of this system for adaption to many of our word
processing and record keeping functions would result in the demand
on the system exceeding its availability. Staff then felt it would
be appropriate to investigate the possibility of other funds being
available to purchase a second stand-alone system to be installed in
the Parks , Recreation and Forestry Department office. This location
was selected as it was felt that such a system could automate recrea-
tion registration as well as a great many other departmental
activities such as forestry records , field permits, budgetary infor-
mation, etc. It should be understood , however , that this second
system would not be for the exclusive use of the Parks, Recreation
and Forestry Department but would be available for use by other
City departments.
In discussions with the vendor it was determined that a second
MICOM 3004 having only one disk drive and a printer would be
appropriate with such a system costing $8 , 295 which is $1 , 900 less
than list price. As it was felt we would most likely purchase a
• second system at a future date, purchase now would result in a
savings of $1 , 900.
At the present time the Revenue Sharing Budget lists $15 , 000 for
the purchase of a word processing system and $6 , 300 for a new ballot
counter. As no elections are scheduled until 1984 , the ballot counter
purchase could be delayed until then, thus freeing up $6, 300 for a
second system or a total of $21 , 300 from Revenue Sharing.
Also, during the 1983 budgeting process the fact that Water and
Sewer billing data would be processed on the first system was not
taken into consideration. It is felt that part of this system' s cost
should be paid for out of the Water or Sewer Fund in much the same
manner as these funds pay for their share of the City' s total data
processing costs . We, therefore, recommend that 25% of the cost of
the first system or $4 , 196 be charged to the Water Fund.
The total cost of both systems would be as follows:
Philips/MICOM 3004 , dual disk drive $16 ,780
Philips/MICOM 3004 , single disk drive $ 8 , 295
$25, 077
••
