3. Prepare for the public outreach process. <br /> • Update the draft outreach plan created in the pre-planning phase with the <br /> following information: <br /> o Stakeholders to involve in the outreach process. <br /> o Schedule and location of the outreach meetings in a variety of locations throughout <br /> the jurisdiction. <br /> • Concurrent with the public meetings. the sustainability coordinator and staff should continue to <br /> meet with advocacy organizations and stakeholders to receive feedback and test ideas. These <br /> meetings can be conducted as one-on-one meetings or with small groups. <br /> • Include the interdepartmental team and departmental directors in the outreach meetings, so <br /> they can hear direct feedback from the public and can incorporate public opinion in to their <br /> analysis of potential strategies. The team can also address questions raised by the public when <br /> a proposed strategy is not viable. <br /> • Develop an attractive and easy-to-understand presentation for the outreach <br /> process to visually communicate to the public the challenges and goals.Then <br /> use the second half of the meeting to get feedback. <br /> • Tailor the outreach presentations to the audience; highlight the benefits of the plan for differ- <br /> ent constituency groups and/or neighborhoods. When people understand how the plan affects <br /> them directly, they will take a greater interest. <br /> • If regularly scheduled public meetings exist, then consider using these meetings as a venue for <br /> public outreach. <br /> • For larger jurisdictions, consider holding meetings in a variety of locations to make the meetings <br /> convenient for residents. <br /> • The number and approach to publicoutreach can varyvastlYbased on the size of the jurisdiction. <br /> For smaller communities, only a few outreach meetings might be necessary and they could be <br /> combined with other planning meetings.
