Moillvns ViEw <br />JOB DESCRIPTION <br />Job Title: <br />Receptionist <br />Grade: <br />3 <br />Supervisor Title: <br />Human Resources Director <br />Department: <br />Administration <br />FLSA Status: <br />Non -Exempt <br />Date Reviewed: 10/3/2023 <br />Minimum Qualifications of Education and Experience: <br />➢ High school diploma or GED equivalent with specialized course work in general office practices such as typing, <br />filing, accounting and bookkeeping. <br />➢ Three (3) years of increasingly responsible related experience. <br />➢ Experience with document imaging. <br />➢ Typing of 50+ WPM with ability to proofread. <br />Nature of Work: <br />This position provides high quality customer service to the public and internal customers. Receives and refers <br />inquiries to appropriate personnel. Performs administrative duties including word processing, data entry, mail <br />processing, cash receipting, and providing support to the Human Resource Director. Maintains office supplies, <br />schedule meeting room reservations and assists other departments as time allows. <br />Communicates with: <br />Internally —General staff. <br />Externally —General public. <br />Supervision: <br />None <br />Essential Work Functions: <br />• Greet visitors at City Hall and answer questions or direct to staff member/department able to assist with customers' <br />request, while providing excellent customer service and maintaining a favorable image of the City. <br />• Process all outgoing and incoming mail. Promptly distribute mail to appropriate departments. <br />• Maintains the lobby, office supply/mail room and front counter area in a neat and orderly condition removing all <br />outdated notices, posters, etc. <br />• Performs cash receipting (utility billing credit card payments) including collecting fees and issuing receipts (for certain <br />licenses, permits and bills). <br />• Assists with utility billing and accounts payable processes and procedures as needed. <br />• Coordinates dog license activities including the ordering and issuance of dog tags, data entry and receipt of <br />payments. <br />• Answers recycling questions. <br />• Performs word processing, including, but not limited to forms, fillable PDFs, licenses and general correspondence. <br />• Assists with election activities and other administrative and municipal functions as directed. <br />• Assists in the recruitment process by posting job announcements, coordinating the interview process, and notarizing <br />background forms. <br />9 Assists the HR Director and coordinates employee related events such as Employee Appreciation. <br />
