ForkIngiffln <br />of Mounds View Staff R, <br />Item No: 8G <br />Meeting Date: July 8, 2024 <br />Type of Business: CB <br />Administrator Review: <br />To: Honorable Mayor and City Council <br />From: Don Peterson, Director of Public Works/Parks and Recreation <br />Item Title/Subject: Resolution 9956 Approving a Janitorial Cleaning Contract for City <br />Hall/Police, Public Works Facility and the Mounds View Community <br />Center <br />Background/Discussion: <br />One of the duties of the Public Works Department is to oversee the cleaning contract for <br />City Hall/Police, Community Center and Public Works. <br />City Hall/Police was cleaned 5 days a week by the contractor. As the 3-year contract <br />expired, the City had continued a month -by -month basis with the contracted company. <br />(This month -by -month approach was agreed upon until a new contract is reached or a <br />new contractor found.) <br />The goal is to improve the cleaning at all facilities without a large cost increase. The <br />Community Center is cleaned by in-house Staff and a contracted Temp Agency on the <br />weekend. The Temp Agency primary function is to set up and tear down of the Event <br />Center depending on the size of the event cleaning can limited and only occurs after the <br />event center cleaning is completed. <br />City Hall/Police will be cleaned three days a week, Public Works and the Community <br />Center will be cleaned once a week. Included in the cleaning is the annual carpet cleaning <br />at City Hall/Police and Public Works and Terrazzo Floor polishing at City Hall. Cleaning <br />at the Community Center will be limited to the common area and rest rooms. <br />The current 2024 budget for City Hall/Police cleaning is $25,000 and $3,500 for floor care <br />including carpet cleaning and waxing of floors. The Community Center, Event Center, <br />includes $10,000 for additional staff. <br />Staff reached out to several cleaning contractors and received a proposal from Z&K Avdiu <br />Inc.: $2,000 for City Hall/Police, $300 for Public Works, and $400 for the Community <br />Center, for a total monthly cost of $2,700. <br />Strategic Plan Strategy/Goal: Maintain and Plan for Infrastructure. <br />The Mounds View Vision <br />A Thriving Desirable Community <br />
