Item No: 7F <br />Meeting Date: January 10, 2011 <br />Type of Business: Council Business <br />Administrator Review: ____ <br />City of Mounds View Staff Report <br />To: Honorable Mayor and City Council <br />From: Don Peterson, Public Works Supervisor <br />Item Title/Subject: Resolution 7723, Approving the Purchase of a 2011 Ford F250 <br />Pickup Truck from Midway Ford <br />Background/Discussion: <br />As part of the Public Works Department’s maintenance program, service trucks are purchased for <br />the specific division that will perform the needed maintenance and inspections required for <br />infrastructure operation and maintenance. The City Council approved hiring the position of a <br />Surface Water Maintenance position in 1993. As requirements and duties increased for the Surface <br />Water Department due to regulatory requirements, it became evident that a dedicated department <br />vehicle was necessary. When the Golf Course was dissolved, a 1998 Chevrolet pickup (#141) was <br />transferred to the Surface Water Department and has been in use ever since. <br />Replacement of the surface water truck has been deferred for five years now. The expenditure first <br />appeared in the adopted 2006 Budget and has been included every year since. <br />Discussion: <br />Staff has received a competitive quote off the State of Minnesota Cooperative Purchasing Venture <br />for a 2011 F250 4x4 for a cost of $22,424.49 plus sales tax and license fees. <br />The vehicle will also require warning lights and a winch to be installed. Emergency Automotive <br />Technologies will install the warning light package at cost of $1,528.63 plus sales tax. Staff will <br />install the winch and can be purchased from Grainger for $1,497.00 plus sales tax. <br />The 2011 Budget includes $40,000.00 for a replacement vehicle in 245-4417-7030. The cost for the <br />above vehicle and options will be $25,545.12 plus sales tax and applicable licenses fees. (Total <br />costs will be below $30,000.00). <br />With the purchase of a replacement truck for Surface Water, the 1998 Chevrolet (#141) is proposed <br />to replace a 1994 Ford F150 pickup (#131) that is currently being utilized by the Buildings and <br />Grounds and Parks Departments. The displaced 1994 Ford (#131) will be sold at the State auction <br />with the City Council’s approval of the new 2011 Surface Water truck. <br />Recommendation: <br />Staff recommends the approval for the purchase of a 2011 F250 pickup truck from the State of <br />Minnesota Cooperative Purchasing Venture contract and in addition, the installation of the warning <br />light package and winch for a cost of $25,545.12 plus sales tax and applicable licenses fees from <br />account 245-4417-7030. <br />Respectfully submitted, <br />Don Peterson <br />Public Works Supervisor
