Anderson, DI <br />Parks, Recreation and <br />DATE: April 4, 1984 <br />RE: Code -A -Phone Capabilities <br />Attached is the specification sheet for the City's code -a -phone <br />#111 which indicates that the equipment has a six minute <br />announcement time. Our experience with the recorder has been <br />that any message longer than 30 seconds is not listened to by the <br />caller. The bigger problem beyond the attention span of our cal- <br />lers is that our objective with the announcements is to turn as <br />many phone callers over as we possibly can in the shortest period <br />of time. An example of this would be evening rain -out games; <br />when we receive an extremely high volume of calls, anywhere from <br />200 - 300 calls per evening, so we try to keep our messages as <br />short as possible so that those people will be able to receive <br />the information requested. <br />As you are also aware, our current phone system works on a rotary <br />schedule so that if someone calls in to the City and the recorder <br />is busy, the phone system will immediately forward it to the next <br />line which will just ring and ring as no recorder system is <br />hooked up to that. For this reason also, we keep the messages as <br />short as possible. <br />The code -a -phone we purchased does not have the capabilities of <br />leaving a message on it. We did that intentionally, as we felt <br />that we would be receiving a great number of messages, that it <br />would be inappropriate and we felt that direct one-on-one contact <br />would best oeet our residents' concerns. <br />In conclusion, I would like to add that the City might want to <br />explore the purchase of the second code -a -phone which might ad- <br />vertise City messages or items of a longer nature should the <br />Council desire. But, from our perspective, there is very strong <br />proven need for a code -a -phone in the recreation department with <br />short, concise, clear messages.
