That will enable the computer to be set <br />up as a work station so it may be used by all Finance Depart- <br />ment personnel. The cost of the desk and printer stand is <br />approximately $500.00. <br />I am proposing a personal computer be purchased for the <br />Finance Department for several reasons: <br />1) to be used for payroll preparation <br />2) to be used in budget preparation <br />3) to be used in preparing audit workpapers <br />4) to allow the secretaries more time on the word <br />processor <br />5) a possible future use would be data entry and com- <br />munication with the Ramsey County computer or an <br />in-house computer. <br />Costs of a personal computer system are as follows: <br />IBM XT Personal Computer $4,391 <br />Payroll Program 1,550 <br />Lotus 1, 2, 3 (electronic spreadsheet) 550 <br />Work Station 375 <br />500 <br />$6,8 66 <br />The purchase could be financed from the following accounts: <br />100-150-4703 Finance, Equipment $3,000 <br />100-140-4703 Elections, Equipment 1,000 <br />700-120-4703 Water Fund, Equipment �633 <br />730-120-4703 Sewer Fund, Equipment 633 <br />100-150-4303 Finance, Professional Services 1,550 <br />The costs of the payroll software ($1,550) could be charged to <br />the professional services account of the Finance Department <br />without affecting the budget. Costs of payroll preparation by <br />our serice bureau amount to approximately $1,500 on an annual <br />basis and would not be expended if the City had its own <br />payroll system. <br />A balance of $5,266 remains to be financed. Those costs could <br />be divided between Finance, Water, Sewer and Elections as all <br />Of those departments would utilize this equipment. Finance <br />would use it for payroll, budget preparation, a terminal for <br />data entry, audit worksheets, and then financial analysis. <br />
