MICROGRAPHIC SERVICES UNIT <br />RECORDS MANAGEMENT DIVISION <br />DEPARTMENT OF ADMINISTRATION <br />NOVEMBER 301 1984 <br />JOB 1130 is <br />Procedures for Document Preparation and Microfilming <br />Responsible <br />Party Step Action <br />Mounds View 1. Prepare documents for filming. Maximum size <br />is 12" x 14". Documents must be flat, un- <br />folded, and free of staples, paper clips, <br />rubber bands and any other such fasteners. <br />Documents larger than 12" x 14" must be cut. <br />Remove documents from folders and place in <br />front of file folders. During this prepara- <br />tion process, make a list of poor quality <br />documents to use later in reviewing the micro- <br />film quality when filming is completed. <br />Place e:!e-readable targets (characters of at <br />least 2 inches high) in files as so desired. <br />Determine blip placement and size and notify <br />Micrographics. <br />Mounds View 2. Notify Micrographics when first batch of docu- <br />ments are ready to be microfilmed. <br />Micrographics 3. Schedule planetary camera at 29x. <br />Micrographics 4. Filming will start with oldest records and <br />work forward. Film all documents right - <br />reading. Sequentially number rolls starting <br />with one for the oldest records and going <br />forward to the most recent. At start of roll, <br />film a Certificate of Authenticity, Target <br />"T3", then film a resolution target. Start <br />each file* with a medium blip, and all succes- <br />sive documents in the file will have a small <br />blip. Each file will be numbered starting <br />over at 1 for each new roll. At end of roll, <br />film Certificate of Authenticity only. <br />Micrographics 5. Label rolls as follows: <br />Roll No: Year: <br />Sequentially numbered. <br />Micrographics 6. The Processing Specialist will process and <br />inspect film. <br />*As determined by the City of Mounds View. <br />
