COMMUNICATIONS WITH MEMBER CITY OFFICIALS <br />The Task Force feels that the AMM needs to develop a metropolitan "conscious- <br />ness" among member city officials, so that they will buy into and promote the <br />AMM's agenda. Unfortunately, Councilmember time is scarce, making it difficult <br />to insure that each and every member city official is well-informed and aware <br />of AMM activities, policies and priorities. <br />The first recommendation of the 1984 Task Force report was that the AMM should <br />expand its effort to communicate directly with all elected officials in member <br />cities, as opposed to only mayors and city managers. Since that time, the AMM <br />has had differing distribution lists for different types of communications. <br />Apparently, this is causing a great deal of confusion, and may actually be <br />causing a decrease in consistent communications. <br />RECOMMENDATIONS <br />1. The AMM should strive to publish a short executive summary of legislative <br />positions that could be quickly read by member city officials who don't <br />want the "full shot". <br />p, An AMM contact person, preferably the City Manager/Administrator, should be <br />developed in each city. All communications should be sent to that one con- <br />tact person, plus the Mayor, with the contact person taking responsibility <br />for seeing that the material is duplicated and sent to all members of the <br />governing body. The AMM contact person will also be responsible for <br />reporting on AMM activities at the Council meeting. AMM should work <br />with the Metropolitan Area Managers Association (MAMA) to enlist the <br />support of Managers/Administrators for reproduction and distribution of <br />these,communications. <br />3. Member cities should be encouraged to place discussion of AMM policies and <br />issues on regular City Council agendas to ensure that all elected officials <br />are kept aware of AMM activities, as well as to increase the Association's <br />visibility with local media. <br />4. Each member of the AMM Board of Directors should commit to make a brief <br />presentation at four or five surrounding City Council meetings once each <br />year on AMM policies and activities. <br />- 13 - <br />
