-z- <br />Coordinates and controls facility usage including the City Hall <br />facilities, park buildings and picnic areas by maintaining a <br />calendar of obligations, meetings or reservations as related to <br />assigned programs and activities in a manner which will be most <br />equitable in the interest of fairness and nature of request for such <br />usage. <br />Keeps the Director informed on important details which need <br />immediate attention or action and prepares reports or documentation <br />of activities as may be requested. <br />Types, composes or transcibes accurate correspondence, memos, <br />reports, letters and related materials for the Director, City <br />Forester, Aquatics Supervisor, Senior Coordinator and instructors. <br />Maintains an orderly filing system to ensure prompt retrieval of <br />department information as required or requested. <br />Answers telephone calls in a businesslike manner and directs callers <br />to the appropriate individual. <br />Provides counter coverage and assists individuals with program <br />registrations, park facility usage permits, etc., as required. <br />Balances daily cash receipts to ensure a proper accounting of all <br />monies received by the department. <br />Monitors the general inventory of office supplies and initiates <br />orders as required. _ <br />- Handles minor maintenance on the mimeograph machine and <br />ensures an adequate inventory of supplies necessary to <br />complete assigned accountabilities. <br />Assumes other responsibilities as apparent or as delegated. <br />Other Performance Measurements <br />- Recommends general office proceduke changes which will <br />increase office productivity. <br />- A favorable image of the department is consistently <br />maintained through businesslike and diplomatic relations <br />with callers or visitors to the office. <br />- Quality of completed work consistently meets reasonable <br />standards. <br />Responsibility for Work of Others <br />Direct supervision over the volunteers and employees of the <br />recreation programs as assigned. Provided work direction over <br />summer JPTA and other part-time or temporary personnel. <br />
